How to use AI to help sales reps prepare for every meeting (without hours on research)

At Chili Piper, we’ve nailed speed-to-lead. Inbound prospects can book time directly onto an AE’s calendar 24/7. But that always-on motion created 2 challenges:

  1. Keeping spam off reps’ calendars. Nothing kills morale faster than a calendar full of fake names and junk emails (here’s how we fixed that).

  2. Making sure reps are actually prepared for those meetings, even when they’re running back-to-back. Because sales leaders know: a fast response only matters if the conversation that follows is informed and on point.

This second problem turned out to be the harder one, and it’s where most high-growth sales teams get stuck.

The sales meeting prep paradox: get more meetings or show up prepared

If you run sales at a fast-growing SaaS company, you’ve probably seen 3 behaviors emerge.

You’ve got reps with back-to-back meetings who simply don’t have time to do real research. They jump from call to call with thin context and default to generic, surface-level questions.

Then, you have the “responsible” reps who block calendar time to dig through Salesforce, LinkedIn, company news, funding rounds, past Closed Lost opps, etc. They’re prepared, but all that prep means fewer meetings and less selling time.

And then there are the “grinders”. They take the meetings and do the research anyway, just later, at night or on the weekend. They show up prepared, but over time they get tired, lose focus on calls, and start to burn out.

No matter how reps handle it, the trade-off is the same: being prepared usually means sacrificing either capacity or personal time.

Why this gets worse as you scale

Senior AEs know which signals matter; new or less tech-savvy reps don’t. They spend 20-30 minutes researching and still miss obvious context like a recent acquisition or funding announcement, because no one ever taught them what to look for.

The data backs this up

Sellers spend only ~30% of their week actually selling. The rest disappears into admin, research, and CRM updates. Two-thirds of reps say note-taking and data entry are their biggest time drains - often 10-20 hours per week. (source)

From a leadership seat, this creates an ugly trade-off:

  • Pack calendars → weaker conversations
  • Prep properly → fewer meetings
  • Try to do both → burnout

And your frontline managers are stuck in the middle, spending more time teaching people how to research, where to look for info, and which tools to use than coaching real selling skills like discovery, deal strategy, and objection handling. It’s an unsustainable loop.

This is exactly the kind of operational drag a sales leader can’t afford when growth targets keep going up.

The fix: AI-powered Meeting Prep’ (done right!)

We built the Meeting Prep Agent to take meeting prep off reps’ plates. It’s an AI assistant that pulls together a quick brief before every meeting.

What the agent does

Before every scheduled meeting, the agent automatically generates a concise, private prep brief for the rep, delivered exactly where they work (calendar, Slack, etc.).

It pulls context from the same places reps would normally check manually:

  • CRM records (open opps, past Closed-Lost, notes)
  • LinkedIn (role, background)
  • Company data (industry, size, funding, recent news)
  • Tech stack and competitive signals.

It consolidates everything a rep needs to know into one handy snapshot delivered at just the right time.

Our goal with Meeting Prep was simple: save prep time, improve call quality, and standardize great preparation across the team. Instead of reps juggling 5 different tabs to piece together info (and still risking outdated or incomplete data), all the heavy lifting is done behind the scenes. Every AE receives the same level of insight that a top performer would research on their own, in seconds, not hours.

The result? Reps have enough context to jump from one meeting to the next confident and focused.

Before vs. after AI Meeting Prep’

The real impact: better meetings, bigger results.

Meeting Prep changed the math for us. Our AEs at Chili Piper aren’t just takers, they’re hunters. They run inbound and outbound.

Before, every well-run meeting came at the cost of 20-30 minutes of prep time. Now, when a new prospect hits an AE’s calendar, the context is already there. They don’t postpone meetings, they don’t research at night, they don’t walk in underprepared and they don’t need to block half their day as “prep time.” They walk in informed by default.

The effect is twofold: meeting quality went up, and capacity went up with it. Discovery calls and demos are sharper, and our first‑meeting → opportunity conversion is trending in the right direction. At the same time, because prep isn’t eating their day, our AEs have more bandwidth to do what I actually need them to do in a hybrid role: prospect. The hours we used to lose to tab‑hopping and manual research are now going back into targeted outbound and better follow‑up.

Ramp has improved too. Newer reps can use the structure that experienced reps have. They see which details matter and internalize what good prep looks like much faster than if a manager tried to teach it slide by slide. And buyers feel it. We hear things like, “You clearly did your homework,” when an AE references a funding round or a recent announcement. That’s not fluff : that’s trust and differentiation in the first five minutes.

Net‑net: we didn’t just make meetings nicer; we made the whole engine more productive. Reps have the insights they need to run high‑value conversations, managers spend more time coaching selling instead of research and organization. AEs have more time to hunt, and buyers get a sharper, more relevant experience on every call.
