The Best 10 Online Schedulers – Free and Paid

Daniel Threlfall

Online schedulers help to keep sales teams on track, and are essential for closing leads.

Whether it’s syncing meetings to your reps’ calendars, efficiently routing leads, or sending automated reminders to prevent no shows, online schedulers make the sales process a lot easier.

Here are the 10 best online schedulers — both free and paid.

Summary: We cover ten free and paid online schedulers and recommend Chili Piper as the best online scheduler available. There simply is not a free or a paid solution that provides the level of features, functionality, and power as Chili Piper.

That being said, you do have choices among a variety of online schedulers.

The 5 Best Paid Online Schedulers

Chili Piper

If you’re looking for a platform that automates and streamlines virtually every aspect of the meeting scheduling process, Chili Piper is just the ticket.

It’s one of the best online schedulers if you specifically want to provide leads with a stress-free way to book meetings with your sales team, while at the same time eliminating unnecessary manual tasks for your reps.

With Chili Piper, you can place a booking link in multiple locations, such as your website, landing page, demo page, email, and even webinars.

A lead selects a date and time that’s convenient for them…

…and Chili Piper automatically routes them to the appropriate rep

You can use preconfigured rules to route leads based on criteria like company size, location, industry, etc.

Or, you can use round robin routing to evenly distribute leads among your reps to give everyone a fair opportunity.

Chili Piper lets you easily send meeting confirmations…

…as well as reminders to keep your no show rate at a bare minimum.

To ensure your sales manager is always in the loop, this scheduler offers a master calendar that gives them a bird’s eye view of all other reps’ calendars.

As for integrations, Chili Piper comes with a ton of them, including:

  • Google and Office 365 Calendar
  • Gmail
  • Outlook
  • Zoom
  • Salesforce
  • Zapier
  • Marketo
  • Hubspot
  • Instapage
  • Unbounce
  • And more

Drift Meetings

“Generate more pipeline by booking qualified meetings for your sales team — even when they’re sleeping,” is the UVP of Drift.

They offer multiple sales and marketing tools, and while they’re not as laser focused on booking meetings as Chili Piper, it serves as a complement to Chili Piper.

We’ve gone in depth to explain how Chili Piper and Drift work together in this article. Definitely give it a read.

Here are some of the highlights of this platform.

First, leads can instantly book meetings with reps based around their schedule — a process that’s simple and straightforward.

Second, they use intelligent lead scoring and routing to identify the hottest leads and ensure they’re sent to the right sales reps.

Third, Drift sends automatic email reminders to prevent leads from missing meetings.

Fourth, you can build customized chatbots to get the conversation rolling with a lead to find what they’re looking for.

As for integrations, Drift works with Google and Office 365 Calendar, Marketo, Pardot, Demandbase, and more.

ScheduleOnce

If simplicity and intuitiveness are at the top of your list, ScheduleOnce is worth checking out.

It’s user-friendly and involves three main steps:

  1. Build scheduling scenarios for your sales team
  2. Promote your booking pages on your website and through email and marketing
  3. Let leads book meetings

That’s it.

Here are some of the notable features:

  • Priority-based and round robin assignments
  • Automatic confirmations and reminders
  • SMS notifications
  • Custom booking pages
  • Easy rescheduling

In terms of integrations, ScheduleOnce works with Gmail, Google and Office 365 Calendar, Salesforce, Google Meet, Zoom, GoToMeeting, and much more.

HoneyBook

HoneyBook doesn’t have a lot of features, but it gets the job done.

Just have your sales reps pick the times they’re available, and let leads book meetings based on their schedule.

One of the main highlights of this online scheduler is that it’s brand-centric, and it lets you customize booking pages to cohere with your brand identity.

And this is important, with Dave Wendlend of Forbes saying, “Consistency is essential each time a consumer comes into contact with any of a brand’s attributes or features. It is through consistent interaction that a brand perception is formed.”

HoneyBook syncs with Google Calendar. And if there’s ever an issue where a lead needs to reschedule, they can do so fairly easily.

Genbook

The last of the paid online schedulers is Genbook, a tool that lets leads book meetings around the clock with ease, which is significant given that 40% of bookings are done after hours

It works on the same premise as the other tools I’ve mentioned where your reps specify their availability and leads choose meeting times that work for them.

Genbook offers a smart calendar, which “gives you full control over your business, at any time from any device. Create, manage, and optimize your business schedule in one simple click or tap.”

Here are some of Genbook’s features.

Genbooks integrates with Google Calendar, Constant Contact, and Instagram, as well as a few others.

The 5 Best Free Online Schedulers

10to8

10to8 is a scheduling tool that focuses on two main things — setting up hassle-free meetings and building stronger relationships with leads/customers.

And that’s a biggie considering “companies that provide an emotional connection with customers outperform the sales growth of their competitors by 85%.”

They have a variety of different plans, but the one we’re interested in here is the “Free Forever Plan,” which offers some mouthwatering features.

For starters, you get 100 appointments per month, plus two staff logins.

While this may not be quite enough if you have a large sales team and scheduling meetings at a high volume, it should be if you’re a small business with limited meetings.

The 10to8 free plan allows you to customize your booking page description, add contact information to your booking page, and create a personalized cancellation and change policy.

You can also send meeting confirmations through email to ensure that your reps and leads are on the same page.

And as for reminders, you get one per appointment. That’s not a ton, but it can help.

In terms of lead management, 10to8 has standard features such as time zone detection, customer history, tags, and notes so reps can quickly see the big picture to guide their interactions.

Besides that, this platform comes with over 1,500 Zapier integrations and syncs with popular calendars like Google, Office 365, and Outlook.

Finally, it offers basic analytics with built-in reports on your dashboard.

While you definitely won’t get the same number of features with a free plan as you would with a more robust paid plan or using Chili Piper, it should fit the needs of many smaller businesses.

And if you want to scale up in the future, 10to8 makes it easy to do so.

Chili Piper’s ease of use and high-powered tools makes it an ideal choice for both small teams and enterprise organizations.

HubSpot Free Meeting Scheduling Software

HubSpot is one of the sales and marketing software powerhouses, and recent data has found that more than 87,000 companies currently use it

They offer several different types of tools, including this free one that’s designed to make scheduling meetings silky smooth.

The UVP is straightforward — “start booking more meetings with less hassle.”

They simply pick a date and time that works for them.

Then, Hubspot automatically syncs the meeting to the appropriate rep’s Google or Office 365 calendar based on their availability.

That way you can keep leads coming in without having your team waste time sending out emails, confirmations, and performing mindless manual tasks.

HubSpot even creates records for new people, so your reps don’t have to deal with the drudgery of data entry.

And that’s important considering “71% of sales reps say they spend too much time on data entry.”

Here are some other key features to know about:

  • Email templates to make interactions personable without having to write every single email from scratch
  • Email tracking to know when a lead opens an email, clicks on a link, or downloads an attachment
  • Predictive lead scoring
  • Analytics to measure the performance of individual sales reps

Unfortunately, in our experience, Hubspot’s scheduling app lacks a lot of the features that robust sales teams need.

It’s in place to support Hubspot’s CRM, but doesn’t comprise the company’s flagship product and is therefore perhaps less useful than Hubspot’s other products.

Appointlet

Using Appointlet, reps select their availability, and you share your booking page on your website, landing pages, or email.

Then, leads can book a time that’s good for them, and the meeting is added to the correct rep’s calendar.

Here’s what you get with their free plan:

  • Unlimited bookings
  • Unlimited form fields to capture lead info
  • Personalized links
  • The ability to use your own personalized logo
  • Automatic booking notifications
  • The option for cancelling and rescheduling meetings
  • Integration with Google and Office 365 Calendar
  • Integration with video conferencing platforms like Zoom, Go2Meeting, and more
  • Solid analytics

Besides that, you get free access to Appointlet’s knowledge base, as well as email and chat support.

Bookafy

A lot of Bookafy users are service-based businesses who need to set appointments.

That said, it can also work for sales teams and has most of the features you might need.

With Bookafy’s free plan, you get unlimited appointments with a built-in time zone detector.

You can personalize your booking link with custom colors and fonts so that it matches your brand.

You can also create your own simple booking page or mini website using custom design elements to reinforce your brand identity even further.

You can also send automated email confirmations and reminders to reduce no shows.

Bookafy definitely covers all of the bases and offers an easy to use framework that’s sufficient for many sales teams.

The only real downside is that the free version doesn’t come with any integrations, meaning it doesn’t sync with platforms like Google Calendar, Zoom, or Zapier.

That said, Bookafy gives free users the same level of support that they give paid users through email, phone, a learning center, and book a call.

Arrangr

To use Arrangr, have your sales reps connect their calendar — Arrangr integrates with Google and Microsoft— and leads can select a time based on their availability.

You can create your own customized booking page to fit your brand identity and ensure a high level of consistency.

You can drastically cut down on no shows because Arrangr sends automatic reminders for a subtle nudge to ensure the vast majority of leads don’t flake out.

And when it comes to security, this software is second to none.

“Arrangr protects linked third-party accounts with best practice protocols like OAuth 2.0, app-specific passwords, and 2-factor authentication, while Arrangr passwords are secured with a NSA-designed one-way cryptographic function.”

Given that the average cost of data breach is $3.92 million, this is a great selling point.

Here are Arrangr’s integrations.
